Across the professional association community, staff continue to work to make sure their decision making process is data driven. The challenge is that technology companies continue to build generic association management systems that require expensive customization before it is a usable product. This customization further increases the complexity of an already hard to use system. Additionally, these high dollar systems are designed to contain information but do not have good tools for extracting or viewing information that has been stored.
As good as the objective is to be data driven; you can’t be successful if you can’t get to the data. Yourway Exchange Software has developed tools specifically for the association community. The requirements for these tools came from association professionals who were continually challenged trying to easily solve data access and reporting for their organizations.
Yourway Exchange Software has created a new desktop application, Simple Software Suite©, that brings together all the pieces of the puzzle – without disrupting existing systems, policies, or procedures. Our products connect to “any” database through the use of web services that opens up member and other association data stored across one or multiple systems. All of the programming required to connect to these databases using Simple Software Suite© can be easily handled by your IT department or contractor. In fact, all data access tools and views can be configured and used by a novice PC user.
The Yourway Exchange Software tool is a Windows Rich Client that installs on your PC and uses the security already configured on your internal network. Each database can be connected through a web service as easy as adding a URL; just the same way you view new sites on the Internet. After that it is just a matter of selecting the data elements from each system that you want to see in a view, giving it a name, and saving it. These views can be saved on each PC or on a network drive to be shared by the entire staff. There is never any database jargon to understand or queries to build.
Departments of your association will use the tool differently. For example the Member Care Department will use the custom views to help members with profile issues, troubleshoot login problems and even help with invoice or e-commerce issues because the views can touch all of the systems including accounting without concern for changing any records since it is a view only query. Marketing can build a view to see how many members attended the last conference and paid by credit card or used a coupon in order to build a campaign for the upcoming conference. And the Education Department can take a look at the membership profile as it builds the annual conference program including breakout sessions to see which member has taken what training and what is needed to keep those CEUs current. The tool also gives you the ability to determine the total investment a member is making in the association including foundation contributions, membership dues, publication purchases, meeting attendance and PAC contributions which are often recorded in multiple data bases. This allows for segmentation of members along various dimensions which can be used in marketing the association’s products and services. All of this can be achieved through the same simple interface.
